What I am proposing

A bespoke publishing operating system — Soulprint OS — that replaces Teamwork, Asana, and every production and project management software we might want to use or, better yet, emulate. Built for us, from scratch, around how we actually publish books and more importantly, designed for how this team wants to operate on a daily, weekly, and monthly basis — learning our cadence, feeling our rhythm, and adapting over time.

The Team Side
Where we live. Every title, every track, every task, every deliverable, every vendor, every approval, every deadline. One place. No copy-paste between tools.
Face Two
The Author Side
What authors see. A clean, branded view of their book's journey. What is approved. What is coming. What we need from them. They never touch a spreadsheet or database.

One relational spine connects both faces. Change something on the team side, the author side reflects it. Always in sync. No status email chains.

Future faces in development: production, distribution, publishing, and more as we scale. For now we crawl before we sprint — and our crawl is most people's run.

Here is what it already does

When a project email arrives — a vendor update, a proofing note, a delivery confirmation — the system reads it, identifies the title, and updates the record. Nobody touches it. It updates itself.
When an author asks where things stand, you send a link. They see their book's full journey: what is approved, what is in progress, what is coming, what you need from them. No status call. No email chain. No spreadsheet.
When a new title comes in, one input generates the full production plan — every track, every milestone, every due date — in under five minutes.
When something is at risk, the system surfaces it before it becomes a problem.

This is not a tool the team has to feed. This is a system that feeds itself and tells you what matters.

And all YOU have to do is bcc or cc labid@soulprintmedia.co on any project-related email. That is the only new habit. One address. The rest is automatic.

What this solves

  • Jesse and the team stop spending energy herding tasks and managing project updates. The system does that. You spend your time giving love to clients, making our services better, and increasing the experience of working with Soulprint — whether internal or external.
  • Authors feel held and informed without a check-in call.
  • We have a full production record for every title, every round of review, every approval, every cost. No more "I think Jesse said it was fine."
  • When a new title comes in, the system generates the full 20-plus week production plan automatically, with due dates across every track, in under five minutes.

The timeline

This Week
Secure feedback by Friday and update the concept framework. Add components and features based on what you tell me.
Next Week
By Friday, a working version live for our current authors — built in Notion, running on real data, real production plans, real author views. No mock-up. A real system. We prove it works on what we have now. The interface and access will be online.
Next Month
If we love it, we commit to building a proper custom app. Surprisingly cost-effective when you think of it as a revenue generator. Our code, our brand, our URL, our data. No one else owns it.
After That
We license it. Other publishers and distributors will want this. Authors track their own work, communicate with their team, see their book come to life — inside a system built by a publisher who actually knows what that journey feels like. It becomes part of what we offer. The value compounds quickly.
